Review Passes
Pass 1: Structure
- Does the document have a clear introduction, body, and conclusion?
- Are headings descriptive and hierarchically correct (no H3 after H1 without H2)?
- Is the content organized logically? Would a different order improve comprehension?
- Are paragraphs focused on a single topic?
- Are lists used appropriately (ordered for steps, unordered for options)?
Pass 2: Clarity
- Can a reader with the stated audience level understand the content?
- Are there undefined acronyms or jargon on first use?
- Are ambiguous pronouns resolved ("it", "this", "that" with clear referents)?
- Are there unnecessarily complex sentences that should be split?
- Are there missing transitions between sections?
- Are technical concepts explained before they are referenced?
Pass 3: Grammar and Mechanics
- Subject-verb agreement: singular subjects with singular verbs
- Pronoun-antecedent agreement
- Consistent verb tense (present tense for documentation, past for changelogs)
- Correct punctuation (Oxford comma style consistent, no comma splices)
- Correct spelling (use the locale's dictionary; check domain-specific terms)
- Proper capitalization (sentence case for headings preferred over title case)
- Consistent date formats (ISO 8601: 2024-01-15)
- Consistent number formatting (spell out 1-9, digits for 10+)
Pass 4: Consistency
- Terminology: use the approved term consistently (e.g. "login" not "sign in" / "log on")
- Formatting: code spans for code, bold for UI labels, italics for emphasis
- Capitalization: product names, API names, proper nouns capitalized consistently
- Acronyms: define on first use, use consistently after
- Cross-references: verify all links and references point to existing sections
Pass 5: Inclusivity
- Avoid ableist language ("crazy", "dumb", "insane", "crippled")
- Avoid gendered language: use "they" as singular pronoun, "you" for reader
- Avoid culturally specific idioms ("killing it", "sanity check" -> "consistency check")
- Avoid unnecessarily violent language ("kill", "destroy", "hang")
- Use person-first language where appropriate: "users with disabilities" not "disabled users"
Pass 6: Technical Accuracy
- Do code examples compile and produce the described output?
- Are API endpoint paths, parameters, and responses accurate?
- Are version numbers, dates, and references current?
- Are there placeholder values (TODO, FIXME, lorem ipsum) that should be filled?
Output Format
For each issue found, provide:
- Location: section heading or line reference
- Severity: major (changes meaning / incorrect), minor (style / preference)
- Original: the problematic text
- Suggestion: the corrected version
- Reason: why the change improves the content
Summarize with:
- Pass/fail per review pass
- Total issues by severity
- Estimated effort to resolve (hours)
